Accounting backlog clean-up

Unprocessed invoices, unreconciled accounts, delayed closings: we clear the backlog in a structured way and make sure it does not build up again.

Overview

Accounting backlogs rarely appear overnight: a vacancy, a system change, a growth spurt. At some point the numbers are no longer up to date and the closing becomes a risk. We prioritise by impact, work through the backlog hands-on and set up the workflows so that the team can keep the books up to date on its own afterwards.

Situations

Typical situations with accounting backlogs

After a vacancy or resignation in accounting, supplier invoices pile up, incoming payments remain unallocated and suppliers start chasing.

After an ERP change or shared-services transition, accounts are unreconciled, old items remain open and reconciliations have been left undone. The next month-end or year-end close is approaching, and auditors or the tax adviser need reliable figures.

Or the business has grown but accounting has not grown with it: the team is constantly playing catch-up.

What we take on

01

Assessment: size and ageing of the backlog, risks and upcoming deadlines.

02

Prioritising by impact: payment terms, early-payment discounts, reminders, closing and audit dates.

03

Capturing and posting documents, allocating payments, clearing open items and reconciling accounts.

04

Cleaning up supplier and customer accounts and agreeing balances with suppliers and customers.

05

Fixing the causes: reorganising and documenting responsibilities, approval workflows and processes.

06

Handover to the team with an up-to-date status and clear routines for ongoing operations.

FAQ

Frequently asked questions: Accounting Backlog Clean-up

Where do you start with a large accounting backlog?

With an honest overview: how many documents and open items are where, how old are they, and which deadlines are looming? Then we prioritise by impact, for example payment terms and early-payment discounts, supplier reminders, closing dates and requests from auditors or the tax adviser. Only then do we work through it, in a way that stops the current month from creating a new backlog.

How long does it take to clear an accounting backlog?

That depends on the volume, the quality of the documents, the system landscape and the team’s availability. A sound estimate is only possible after the initial assessment. It is important that day-to-day business keeps running and that the causes are fixed, otherwise the backlog builds up again. Feel free to describe your situation via the contact form.

How do you stop a backlog from building up again?

By fixing the causes rather than just working through the pile: clear responsibilities, fixed deadlines for capture and approval, regular account reconciliations and a documented month-end routine. Where manual steps are the bottleneck, finance process digitalisation is worth a look. In the end, the team takes over an up-to-date ledger with routines it can maintain itself.

Do you work with the tax adviser and auditors?

Yes. Especially with backlogs ahead of a closing, we coordinate closely with the tax adviser and auditors: which documents are needed by when, how old items are treated and which questions are open. Tax assessments remain with the tax adviser. We make sure accounting delivers the figures and evidence required.

Can payables and receivables backlogs be cleared at the same time?

Yes, and they are often linked, for example when unallocated payments or offsets affect both sides. Loretta Schneiders has been responsible for payables and receivables management with nine-figure volumes and knows both processes from practice. How receivables standards were embedded in three entities is shown in the Wabtec case study.
