Overview

When a gap opens up in accounts receivable at short notice or receivables pile up, it needs to be closed with no long ramp-up. We take on AR immediately, stabilize the processes, structure the dunning and clear open items. Fully responsible from day one. With processes that carry on after the mandate.

Situations

Typical situations for an interim accounts receivable mandate

Interim Accounts Receivable steps in when AR is without clear leadership, receivables pile up, or the dunning process needs restructuring. With operational responsibility, not outside consulting.
‍
Typical triggers: a vacancy in the AR team, a backlog of open items before month-end or year-end, an unstructured dunning process, or account clearing and reporting that need rebuilding.
‍
Also at high volume: international receivables management with nine-figure annual turnover is taken on and stabilized with no ramp-up.

FAQ

Frequently asked questions: Interim Accounts Receivable

How can DSO be reduced operationally in accounts receivable?

Through three levers in day-to-day operations: allocating incoming payments promptly, clearing disputed or incorrect items quickly and running a dunning process with fixed stages and deadlines consistently. The lever often lies less with slow-paying customers than with unresolved differences and unclear responsibilities. We manage the overall effect on tied-up capital and liquidity through working capital management.

What should you do when open items pile up before the closing?

First we get an overview of the ageing of receivables and allocate unmatched incoming payments. Then accounts are cleared, old items are cleaned up and customer accounts are reconciled, so that the receivables overview for the month-end or year-end closing is reliable. In parallel we tackle the causes of the backlog so that it does not build up again the following month.

How do you structure dunning without straining customer relationships?

With clear rules: graduated steps from a friendly payment reminder to escalation, fixed deadlines and a line agreed in advance with sales and management on who steps in when. This keeps dunning consistent without surprising key accounts. With international customers, it helps that Loretta Schneiders communicates in six languages.

Can accounts receivable for several entities and countries be taken over on an interim basis?

Yes. At Wabtec, Loretta Schneiders was responsible for international receivables management with a nine-figure volume across three group companies, including dunning, collections and contribution to month-end closing, spanning different ERP systems and working fully remotely. The result was uniform reporting standards for receivables management. Details in the Wabtec case study.

Interim accounts receivable, factoring or a collection agency: what is the difference?

Factoring is a financing instrument in which receivables are sold; a collection agency recovers individual debts externally. Interim accounts receivable starts earlier: we take over receivables accounting within the company itself, organise processes, dunning and account clearing and build reliable reporting. An external collection partner can then be brought in specifically for the final escalation stage.
